We are looking for a Preparation Supervisor to lead the preparation team and ensure efficient, high‑quality operations.

Position Overview

The Preparation Supervisor manages the preparation unit responsible for handling client files as soon as they enter the company. The role leads a team that includes a Data Collector, Assessment Specialist, Profile Upgrade Specialist and Portfolio Upgrade Specialist. Working closely with project managers and other unit heads within the department, the supervisor reports directly to the Relocation Operations Manager. This position sets work policies and templates, evaluates team performance, approves final outputs and steps in to ensure operations continue smoothly in the event of staff absence.

Responsibilities

  •  1. Preparation Unit Management:
    • Organise workflows within the preparation unit and assign tasks to team members (data collection, assessment, profile upgrades, etc.).
    • Ensure new client files are processed accurately according to departmental standards and handed off to other units in a timely manner .
  •  2. Internal Coordination
    • Collaborate with project managers and other units within the relocation department to ensure processes between the preparation and execution stages are aligned .
    • Communicate updates, requirements and feedback between the team and the Relocation Operations Manager.
  •  3. Policy & Procedure Development:
    • Design and refine policies, procedures and templates that govern the operation of the preparation unit.
    • Update these policies regularly to reflect legal changes and client needs.
  •  4. Performance Management & Quality Control:
    • Conduct regular performance reviews for team members and provide guidance for development .
    • Approve final deliverables, ensuring they meet quality standards and documentation requirements.
    • Step in to handle daily operations when team members are absent to maintain service continuity.
  •  5. Reporting & Monitoring:
    • Prepare periodic reports on unit performance for the Relocation Operations Manager, including key metrics and processing times .
    • Identify process improvement opportunities and participate in initiatives aimed at enhancing efficiency and quality.

Must Have

  • Bachelor’s degree in Business Administration, Human Resources or a related field.
  • 5+ years of experience in experience in team management or operations supervision, ideally in relocation or legal services.
  • Familiarity with document processing and data management procedures.
  • Proven leadership and team coordination skills.
  • Strong knowledge of visa, immigration, and recognition procedures.
  • Excellent communication, negotiation, and organizational skills.
  • Proficiency with ERP or project management tools (Odoo is a strong plus).
  • Excellent problem‑solving and organizational capabilities, able to manage multiple projects simultaneously.

  • Knowledge of GDPR and data protection best practices.
  • Multilingual capabilities (proficiency in German and English required; other languages are advantageous)
