We are seeking an Affiliates Assistant to support and strengthen our affiliate partnerships, ensuring smooth coordination, accurate communication, and effective execution of campaigns and agreements.

Position Overview

The Affiliates Assistant provides full administrative and operational support to the company’s Affiliates Supervisor in managing independent sales teams, commission-based sales partners, and affiliate marketers.
This role ensures smooth communication, professional coordination, and accurate documentation between the company and its affiliates.
The assistant acts as the backbone of the affiliates network—handling proposals, agreements, onboarding, training coordination, communication, follow-ups, performance tracking, and all administrative tasks.
Each Affiliates Assistant may be assigned to a specific affiliate, a group of affiliates, or a geographic region and serves as the primary administrative point of contact.

Responsibilities

  • Administrative Support: Assist the Affiliates Supervisor with schedules, meetings, emails, and document preparation.
  • Affiliate Coordination: Act as the main contact for affiliates, ensuring clear communication and operational support.
  • Onboarding & Documentation: Support new affiliate onboarding, manage agreements, and maintain organized records.
  • Sales & Proposal Assistance: Prepare proposals, pricing updates, and promotional materials; track and follow up on sales documents.
  • Meetings & Training: Coordinate training sessions and performance meetings, prepare agendas, and ensure follow-up actions.
  • CRM & Data Management: Maintain accurate affiliate profiles, track performance metrics, and prepare summary reports.
  • Commission & Performance Support: Monitor sales numbers, prepare commission files, coordinate payments, and validate reports.
  • Campaigns & Marketing: Distribute marketing materials, promotions, and product updates; support affiliates in local campaigns.
  • Issue Tracking: Monitor affiliate issues, escalate critical problems, and ensure resolution.

Must Have

  • Experience in administrative roles, sales support, partner coordination, or affiliate management.
  • Strong communication and interpersonal skills.
  • Ability to manage multiple affiliates and tasks simultaneously.
  • Experience working with CRM/ ERP tools and digital platforms such as Odoo.
  • Strong organizational and documentation skills.
  • Professionalism, reliability, and high attention to detail.

Preferred Skills

  • Experience in the relocation, recruitment, or professional services sectors.
  • Multilingual capabilities (German /A1/- and English /B2 - C1/ required; additional languages an advantage).
