Position Overview
The Recruitment Specialist ensures that every candidate placement is transformed into a fully compliant employment case. By managing contracts, verifying documentation, and applying partner policies, this role guarantees that all hiring processes are legally sound, contractually complete, and aligned with employer requirements. Acting as the bridge between staffing and onboarding, the Recruitment Specialist secures a seamless transition from candidate selection to formal employment, supporting smooth relocation operations and reinforcing the company’s commitment to transparency and efficiency.

Responsibilities

  • Contract Administration: Preparing, reviewing, and processing employment contracts; explaining terms to candidates; ensuring timely completion and archiving in ERP/CRM systems.
  • Policy Compliance: Applying partner-specific recruitment policies, ensuring adherence to legal frameworks, company procedures, and data protection standards; serving as the compliance focal point.
  • Candidate Coordination: Guiding candidates through final hiring steps, maintaining clear communication, collecting feedback, and coordinating with internal teams (Staffing, Visa, Legal) for post-hiring actions.
  • Process Closure: Confirming all administrative requirements, transferring finalized documentation to relevant units, closing recruitment files in ERP systems, and contributing to workflow improvements.

Must Have

  • Bachelor’s degree in Business Administration, Human Resources, or related field.
  • 2–4 years of experience in recruitment operations, HR administration, or employment documentation.
  • Strong understanding of employment procedures and compliance in international or relocation contexts.
  •  Excellent communication and coordination skills with both candidates and partner organizations.
  • Proficiency in digital systems (ERP / CRM / HRIS) and document management tools.
  • High attention to detail, confidentiality, and precision in handling legal documentation.
  • Fluency in English (German language proficiency is an advantage).

  • Meticulous and organized, with a continuous improvement mindset.
  • Attention to detail with a high standard for reviewing documents.
  • Knowledge of GDPR and data protection best practices.
  • Multilingual capabilities (German /A1-A2/- and English /B1- B2/ required; additional languages an advantage).
